HOTEL (SERVICES) BID RFB1010400/F4A/3/2023/3 FOR BANQUETTING, ACCOMMODATION AND RELATED MATTERS FOR, EITHER: BENIN CITY, PORT HARCOURT, UYO OR CALABAR.

1. Introduction, Prequalification and Submission of Bids

 

a) ABOUT NDEBUMOG

Niger Delta Budget Monitoring Group (NDEBUMOG) was conceptualized and founded in July 2005. The organization is registered with the Corporate Affairs Commission (CAC) and holds a Special Consultative Status with the Economic and Social Council (ECOSOC) of the United Nations. From inception, NDEBUMOG has contributed significantly to Nigeria’s and global development processes through partnerships, collaborations, researches, lobbying and capacity building to communities and relevant stakeholders. These are on areas of public procurement, budget analysis, budget monitoring/tracking, basic economic literacy, shadow budgeting, tracking of illicit financial flows and enhancing communally centered capacity to pursue fiscal justice and social equity. NDEBUMOG, equally, campaigns and propagates for inclusive (participatory) budget, fair and justifiable taxation, and remediation of audit gaps in Nigeria’s extractive sector. NDEBUMOG is the pioneer civil society group that engages in budget work across the Niger Delta, networking, and synergizing with other fiscal governance actors across Nigeria. Many budget and fiscal governance activists across the region benefitted, either, on capacity enhancement, mentorships, collaborations or from budget intelligence, among others, from NDEBUMOG. We have, equally, related critically with Anti-Corruption Agencies (ACAs).

 

b)Prequalification Processes

Banqueting and hospitality service providers that are registered with NDEBUMOG for this category of services are, hereby, invited to submit bids for RFB1010400/F4A/3/2023/3. Entities not registered with NDEBUMOG, may do so virtually, before, proceeding to submit bids, upon notification (by NDEBUMOG) of successful prequalification and entity’s services registration. Prequalification and service award processes are free and does not attract any fees nor payment of any sort. Costs for submissions are responsibilities of submitting entities and does not bind nor commit NDEBUMOG for any financial/contractual liability for services/ awards.

 

c) Request for Submission of Bids.

Hospitality service providers, which are already registered at our ( procurement services) database and prequalified for this category of services, are hereby, requested to send their bid(s) for this hospitality service and related matters. Possible location for this activity and related matters are: BENIN CITY, PORT HARCOURT, UYO OR CALABAR.

 

2. Scope of Service

Scope of services to be provided are banqueting, accommodation and related services. Explicitly, it shall include:

  1. To provide accommodation for stakeholders that are to be invited, together, with organization’s officials, affiliates, members of institutional think tank and participants during the capacity building.
  2. To provide banqueting facilities (hall with related F&B essentialities) for successful hosting of the capacity building.
  3. To provide (any) additional service/guarantee, as may be requested for successful hosting of this activity in the facility.
  4. Facility managers through mutual bargaining, shall agree with NDEBUMOG’s Headquarters on areas, such as, environmental health, safety, security and effectiveness of facility’s service delivery and related matters.

3. Bids Requirement

  • Bids must include normal, discounted (categorized) rooms, alongside, collapsible rate for rooms to be provided. Collapsible rate for accommodation, should be inclusive of superior categories of rooms, e: g, double-rooms, suites etc. PLEASE TAKE NOTE!
  • Banqueting component in bids, should include: the size of the hall and sitting capacity, rate for the hall, including (if any) available supplementary/auxiliary services that goes with hall’s hiring. Additional information about PAS, projector, flip chat stands, and associated cost should be included. Separate information about meals, e.g.: buffet- lunch or plated, with full details related to the entire lunch packages should be provided, with optional choices, if available.
  • Bids must be accompanied with assurance for effective security at the location for the safety of ALL our invitees and stakeholders. Service manpower guarantee is also necessary.

4. Submission Information.

  1. Bids should be sent on a SEALED ENVELOPE clearly mark; ATTENTION: PROCUREMENT (SERVICES) COMMITTEE “EXPANDING OF KNOWLEDGE BASED OF ADDITIONAL WOMEN IN EXTRACTIVE VALUE CHAINS THROUGH A CAPACITY BUILDING, WITH ECONOMIC EMPOWERMENT TOOL FROM THE DESK REVIEW. HOTEL (SERVICES) BID RFB1010400/F4A/3/2023/3 FOR BANQUETTING, ACCOMMODATION AND RELATED MATTERS FOR, EITHER: BENIN CITY, PORT HARCOURT, UYO OR CALABAR”, with submission, either, physically to NDEBUMOG’s Headquarters or by email with same subject to be emailed to: procurement.services@nigerdeltabudget.org
  2. Tariff sheets and fliers may be sent as addendum to bid(s), provided, necessary details are contained therein. Please use additional (virtual) option to provide more information, which may not be contained in your fliers, if need be.
  3. Costs for packaging of bids are responsibilities of bidders. NDEBUMOG bears no responsibility or liability to refund such costs, irrespective of outcome of respective bids, either; successful or rejected. Therefore, NDEBUMOG shall not be associated with any liability nor costs/financial responsibility thereto.
  4. NDEBUMOG shall notify successful bidders and may decline communications for unsuccessful bids for administrative convenience.

5. Dateline for submission

Submission opens on Tuesday 15th August, 2023 and shall be closed by 12: 00PM on Thursday 24th of August 2023.
