F4D-PHASE I-III (1010400/OXF/SPP/3/3010170/2010200/2018/2) CIVIL SOCIETY TRAINING AND RELATED SERVICES- REQUEST FOR BIDS-HOTEL SERVICES (ACCOMMODATION AND RELATED MATTERS)-ENUGU, ASABA, UYO, CALABAR OR PORT HARCOURT FOR AUGUST, 2018

  1. Method and Prequalification Process
  2. a)Niger Delta Budget Monitoring Group; intends to conduct a two-day training activity for civil society stakeholders within Nigeria’s F4D cluster. The event is to enhance capacity of civil society stakeholders in public finance expenditure monitoring, evaluation, basic economic literacy, budget, lobbying and influencing, among others.

 

  1. b)Hospitalityservice providers, which are already registered at our (procurement services) database and prequalified for this category of services, are hereby, requested to send in their Bid(s) for this services and related matters. Location for this activity and related matters, shall be, either at: Enugu, Asaba, Uyo, Calabar or Port Harcourt. Service providers, under this category, which are not prequalified into our database, may complete our prequalification form at: http://localhost/niger-delta/services-vendors-prequalification-form/ and may proceed to submit a Bid. Provided, such is upon acknowledgement of receipt of prequalification documents that meets customary requirements of our procurement services unit, which are free without any cost.
  2. Scope of Service

The scope of services to be provided are accommodation and related services thus:

  1. Toprovide accommodation for stakeholders that are to be invited, together with organization’s officials during the training.
  2. Toprovide lunch for stakeholders that are to be invited and officials of our organization during this activity.
  3. Toprovide tea/coffee, along with snacks, for stakeholders that are to be invited during this activity.  
  4. To provide (any) additional service guarantee, as may be requested for successful hosting of this activity in the facility.
  5. Facilitymanagers will agree with NDEBUMOG on areas, such as, environmental healthsafetysecurity and effectiveness of facility’s service delivery and related matters.

 

  1. Requirements/ Submission Procedure
  2. i)Bid(s) must be inclusive of normal and discounted (categorized) room rate(s) or collapsible rate for rooms to be provided. Such; provided collapsible rate for accommodation is (inclusive) of superior categories of rooms, such as, e: g; double-rooms, suites, etc. PLEASE TAKE NOTE!
  3. ii)Banqueting component of any Bid, should state: the size of the hall with sitting capacity, rate for the hall, including (if any) available supplementary/auxiliary services that goes along with hall’s hiring. Further information about PAS, projector, flip chat stand and associated cost should be included. Separate information about meals: buffet- lunch or plated, with full details, as is related to the entire lunch pack, should be provided, with optional choices, if available.

iii)      Bid(s) must be accompanied with guarantee of effective security at the location for the safety and security of our stakeholders during the training. Service manpower guarantee is also necessary.

  1. iv)Bid(s) should be sent on a SEALED ENVELOPE and mark to; ATTENTION: PROCUREMENT (SERVICES) COMMITTEE “Bid for F4D-PHASE I-III (1010400/OXF/SPP/3/3010170/2010200/2018/2) CIVIL SOCIETY TRAINING AND RELATED SERVICES- REQUEST FOR BIDS-HOTEL SERVICES (ACCOMMODATION AND RELATED MATTERS) ” with submission, either, physically to our Head Office or  by email with same subject, which should be mailed to: services@nigerdeltabudget.org
  2. v)Tariff sheets and fliers, which may be sent formally as a Bid or addendum to Bid(s), may be accepted, provided, all necessary details are contained therein. Please use additional option to provide further information, which may not be contained in your fliers, if need be.
  3. vi)Please note: that the costs for packaging of Bid(s) are solely the responsibility of Bidders with related-costs hazard. NDEBUMOG bears no responsibility or liability to refund such costs, irrespective of an outcome for any Bid, either; successful or rejected, and therefore, shall not be associated with any liability nor responsibility thereto.

vii)   Successful Bid and those rejected shall be communicated formally.
